There are so many ways you can structure the files on your computer that it’s impossible to go over every method. The best way to start is by creating several folders for very broad groups of files and moving all of your files into them. 

For example, you might sort your files into folders labeled “Work,” “Personal,” and “Games.” Once you’ve done this, you can look in each folder and see how you can sort the contents into even more sub-folders. 

Continuing the example from above, you might decide to sort your work folder into sub-folders called “Projects” and “Reports.” While you don’t want your system to be too complicated, don’t be afraid to give it some depth.

Merge Related Files

When software or content is uploaded to your PC, it’s placed in a new folder that the computer creates automatically. While this is a very useful tool, it often results in unnecessary clutter… especially if you use your PC for storing things like photos or videos. 

Instead of having several files labeled “photos,” you can merge them into one main folder designated for photos that you have uploaded to your computer. You can take it a step further and create sub-folders if you want to categorize your files by date or occasion.  

Delete Old, Useless Files

After a while, files are forgotten and wind up doing nothing more than taking up space. Eliminating these unused files frees up space, as well as making your filing system more organized. 

A prime source for this sort of clutter is the download folder. It’s easy to forget about the installer for an application after it’s done its job. So, it just sits there. If a file isn’t something you use or plan to store, don’t let it hang around.

Stick to Your System

Even if you organize every single file on your computer to your liking, your computer will not stay organized for long. It’s essential that you also sort new files as they come in. Getting a good night’s sleep is all the better. So, the next time you’re feeling mentally overwhelmed, chances are that taking a quick nap will help you be more organized for the rest of the day.

For most people, pets aren’t just animals; they’re beloved members of the family. Spending time with your favorite pet elevates your mood and makes it easier to get through the day. Multiple tags can be applied to a single message, which allows them to be sorted differently depending on the situation. 

Setting Up Filters

Some email services allow you to set up filters that tell your mail service to treat certain messages a certain way. For example, if a particularly difficult junk mailer won’t remove you from their mailing list, you can set up a filter that automatically removes all mail from that sender to the trash. Filters are also useful for keeping your folders organized by automatically sending messages containing certain words or phrases to a specific folder. 

Search Your Email

Your email has a handy search engine tool that you can use to find an email in your inbox quickly. The search tool allows you to easily find emails from a specific person or company, messages sent to a specific email address, or emails containing certain words. This is especially useful if you need to reference an old email that’s been lost in your inbox.

Keep Things Maintained

No matter what tools you used to clean up your inbox, it’s important to keep things organized to avoid another mess from forming. If you set up filters, many of your messages will be organized automatically. Update your filing system as needed and apply new filters to messages that show up in your inbox. It’s important to have a filing system that appeals to you, so it encourages a habit of using it.  

Invest in a Filing Cabinet

It would be best if you had a place where you can keep your files safe and organized. A filing cabinet stores a lot of paperwork in a way that allows it to be accessed efficiently. Every folder is kept upright in the cabinet, so you can go through them and pull documents out of them without removing them from the filing system. This stops you from disturbing your entire filing system if you have to go hunting for a missing document. Filing cabinets also are sturdy and secure, so they’ll keep your important paperwork safe from damage. Some even have locking drawers if privacy is an issue.

Create a Directory

Creating a rough list of the contents of a filing cabinet drawer or group of folders makes it much easier for you to find what you need. This list can either be handwritten or created on a computer and printed out. 

Be Persistent

No matter what kind of filing system you put into place, it won’t do any good if things don’t stay organized. As you add new documents to your filing system, make sure they end up in their proper place. Avoid allowing loose papers to pile up and resist the temptation to stuff something where it will fit. Yes, it takes a bit of discipline, but you can keep your filing system clean and efficient with a bit of practice.
